01

Choose the management task before the application

A font manager can help group, preview or activate fonts, but those are different operations. Begin with the problem: an overcrowded menu, a missing project family, a collection for one client or several similarly named files. Record the computer platform and design applications involved. A website’s font-preview library is useful for comparison but does not automatically manage the local fonts available to your desktop programs.

02

Collections and libraries can have different behavior

Apple’s Font Book instructions distinguish collections from libraries: collections can appear in the font-selection window of supporting apps, while font libraries do not appear there. Adding a font to a collection does not remove it from its previous location. These distinctions help prevent a project group from being mistaken for a new installed copy. The dedicated Font Book guide covers that Mac workflow in more detail.

03

Separate activation and subscriptions from file organization

FontBase documents collections, watched folders and activation, with additional features under its Awesome subscription. Adobe’s management instructions separately cover selected fonts, history, removal and web projects through Adobe Fonts and Creative Cloud. Compare the actual task in the relevant tool instead of assuming every manager implements the same controls. Retain a record of the selected family and style before deactivating resources used by an editable document.

04

Maintain a useful project inventory

For a shared project, record the family, style, edition, authorized source and intended delivery method. Keep original license information beside the file record rather than treating an application’s activation indicator as permission to redistribute software. Compare the longest heading and a paragraph after a change so a missing resource does not become an unnoticed substitution. Use the FontBase and Font Book guides for specific instructions, and the file-types guide for format distinctions.

GOOD QUESTIONS

Your questions, answered.

Is a font collection necessarily another installed copy?

No. Apple’s collection instructions describe grouping existing fonts without removing them from their original locations.

Does activating a font settle its distribution permissions?

Activation makes a resource available in a workflow. Keep its source and license separate when deciding how files may be shared.
